What we collect

  • The contact form: first name, last name, phone, email, the name of your company and its SIREN number if you are a business, and your message.
  • The vehicle delivery form: the same contact details, the type of vehicle, the departure and arrival addresses and the requested dates.
  • The sale or trade-in form: the same contact details, the postcode and town of the vehicle, its description (type, make, model, body type, year, mileage or hours, asking price, details) and, if you wish, its photos and its registration certificate (both sides).
  • The custom search: the same contact details, your postcode and town, and what you are looking for (type, make, body type, budget, mileage, year, financing, details).
  • “Request a call” (vehicle page): your name, phone, email and, if you wish, your question, with the vehicle concerned. Your advisor receives them to call you back.
  • The proforma request (vehicle page): your company’s country, your name, phone and email, and your company’s identifier, which depends on its country:
    • in France, its SIREN number, checked against the official business register;
    • in another European Union country, its name and its intra-community VAT number, checked with the European Commission’s VIES service;
    • outside the European Union, its name and its registration number in its country (not checked by us).
    The proforma and the vehicle brochure are sent to you by email (with a translated copy if you are viewing the website in another language), and your advisor receives a copy.
  • The financing request (simulator on a vehicle page): your name, phone, email, your company’s SIREN number (checked against the official business register), the chosen term, any down payment, your answer to the question “change of company director less than a year ago” and whether you already know our financing partner. What happens to this request is explained below, in “Who has access”.
  • A technical item: the IP address of your device when sending, to block mass submissions (robots, abuse).

What is mandatory: your last name, first name, phone and email (and the name of your company if you are a business) in the contact, sale and search forms; for a sale, also the type of vehicle, its make, its year and its mileage when it has one; for a search, the type of vehicle; your name, email, mobile number and the addresses in the vehicle delivery form; your name and phone to be called back; for a proforma, the country, your name, phone and email and the company identifier described above; for financing, your name, phone, email, the SIREN number and the answer about the change of director. Without them, we cannot reply to you or prepare a valuation, a proforma or a quote. Everything else is optional.

The photos and the registration certificate are optional: they help us give you a first valuation faster and check the vehicle’s characteristics (date of first registration, category, holder). You can also send them later, during our call.

When you start typing an address or a company name, only that text is sent to the public services that provide the suggestions (the IGN Géoplateforme for addresses, the French State’s company directory for companies). They receive neither your name nor your contact details.

The search assistant (“Describe your needs”)

What you type or dictate into the assistant on the listings page is sent, together with the listings it has found, to the artificial intelligence provider of our MachMova software, the American company Anthropic, which processes it on our instructions to understand your request and write its advice. Your request is analysed automatically to suggest vehicles from our stock: these are suggestions, and no decision binding on you results from them. We do not keep your request: only the processing cost and the number of results are recorded. Anthropic does not use this data to train its models and deletes it no later than 30 days after the search, unless its safety checks detect content that breaches its usage policies (then kept for up to 2 years) or the law requires it to be kept. Do not enter any personal information: describe only the vehicle you are looking for. Your IP address is used to limit the number of searches (ten per hour).

If you use the microphone, dictation is provided by your browser (for example Google for Chrome, Apple for Safari): the recognised text appears in the field, and you choose whether or not to send it.

Why

  • To answer your request (call back, quote, vehicle delivery, valuation, sale, trade-in or purchase of a vehicle, finding the right vehicle for you): these are steps you ask us to take before a possible contract.
  • To follow up the business relationship and offer you vehicles or services related to your request: this is our legitimate interest, and you can object to it at any time.
  • To protect the website against abuse: this is also our legitimate interest.
  • To help you find a vehicle with the search assistant, at your request: these are steps taken before a possible purchase. Limiting the number of searches per IP address is based on our legitimate interest in protecting this service against abuse.
  • To comply with our legal obligations if a contract is concluded (invoices, accounting, registers of our profession).

Who has access

Your information is read by the Truck Agence team. There is only one exception: the financing request, explained just below. Your information also passes through our technical service providers, who process it on our behalf and cannot use it for themselves (list below).

The financing request. If your application meets the criteria of our financing partner (currently 21 10 Finance), your name, phone, email, SIREN number, the vehicle, the term, any down payment and your answer about the director are sent to it, as well as to our sales representative, to study your financing: this is a step you ask us to take before a possible contract. The partner then processes them on its own account, under its own privacy policy, which it will present to you if it takes your request further. If your application does not meet its criteria (for example a director changed less than a year ago), nothing is sent to it automatically: only our sales representative receives your request, and decides with you whether to present it to the partner anyway or to look for another solution. Before you send it, the simulator tells you which of the two cases applies.

Our technical service providers:

  • Vercel Inc. (United States): hosting of this website, on servers in Paris, and of the MachMova software, on servers in Frankfurt;
  • MachMova: our management software, where your requests arrive; its database is entrusted to Neon Inc. (United States), on servers in Frankfurt (Germany);
  • Resend (United States), with Scaleway (France) as backup: sending the email that tells the advisor a request has arrived;
  • Anthropic (United States): the artificial intelligence of the search assistant, through MachMova;
  • OpenStreetMap (British foundation): the map on the Contact page, loaded from its servers when the page opens. OpenStreetMap therefore receives your IP address, without setting any cookie. We use this map to show you where to find us (legitimate interest). To avoid it, simply do not open the Contact page: our phone number and email are also at the top and bottom of every page.

Vercel, Neon, Resend and Anthropic are American companies: your data may therefore be accessed from the United States, for example for maintenance. This transfer is governed by the European Commission’s adequacy decision (EU-US Data Privacy Framework) or, failing that, by the European Commission’s standard contractual clauses. The United Kingdom also benefits from an adequacy decision. You can ask us for a copy of these safeguards.

How long

  • A request with no follow-up: 3 years after our last exchange, then deleted;
  • A customer: for the whole business relationship, then 5 years in archive (the period during which a claim about a sale remains possible), consulted only in the event of a dispute;
  • Invoices and accounting records: 10 years, as required by law;
  • The registers of our profession (register of vehicles bought and sold): the period set by the regulations;
  • The IP address of the submission: the time needed for the check, then a few months at most in our hosts’ technical logs.

Cookies

This website does not set any cookies: no audience measurement, no advertising, no social network. That is why no banner asks for your consent. The fonts are hosted on the website itself.

The buttons to Facebook, Instagram, TikTok, YouTube, LinkedIn, WhatsApp and our Google listing are simple links: nothing is loaded until you click. Once on those websites, their own rules apply.

The tab’s memory. Two features of the website keep a piece of information in the memory of your browser tab (it is not sent to the website, and disappears at the latest when you close the tab):

  • when you click “Open full screen” in the search assistant, your conversation is copied there so that it can be found on the full-screen page, then deleted as soon as that page has read it;
  • when you request a proforma, a randomly drawn number is kept there so that a new attempt, after a connection drop, does not create a second proforma; it is deleted as soon as the proforma is received.

These two uses serve only the service you request: they therefore do not require your consent.

Your rights

At any time, you can:

  • see the information we hold about you, and have it corrected or deleted;
  • have its use restricted, or object to its use, in particular for marketing;
  • receive the information you gave us yourself in a machine-readable format (right to data portability: it applies to what is used to answer your request or for a contract);
  • tell us what you would like us to do with your information after your death.

Write to us at contact@truck-agence.fr: we reply within one month at the latest. If you believe your rights are not respected, you can lodge a complaint with the CNIL, the French data protection authority (www.cnil.fr).
